Position: Events Manager, reports to MDF Director

Location: Remote

Status: Exempt, 1.0 FTE

Salary: starting at $75,000, plus benefits
 

 

Position Summary


Media Democracy Fund (MDF) seeks an Events Manager to plan and execute a range of high-touch events. From ideation, to participant management, to onsite logistics and execution, the Events Manager organizes everything from intimate dinners with funding partners, to day-long researcher huddles, to multi-day, 50-person retreats. This is a full-time position with significant travel, including locations outside the US, so proximity to a major airport is necessary. The position is remote, but residency in a US based East Coast city is preferred.
 

Essential Responsibilities and Tasks

 

  • Support MDF’s role as a long-time field and funder convener by working with MDF staff, consultants, and funding partners to design and execute events that match MDF’s strategic priorities and the needs of the field

  • Identify the unique needs of each event, think through whether it should be virtual, hybrid, or in-person and propose a location, duration, and features that will make each event highly effective and valuable for participants, and appropriate for the subject matter at hand

  • For in-person meetings, be available to travel to event locations, both to advance/scout proposed venues, and to attend and run logistics. This usually requires the Events Manager to arrive one to two days early, and be the last to depart. Some events are held outside the US.

  • Manage event participants, from drafting and sending effective invites, to tracking RSVPs, to travel arrangements, to selecting food matching dietary restrictions, to making arrangements for access requirements, to onsite needs

  • Work with venues, caterers, facilitators, and other vendors to request proposals and review contracts to ensure they meet the needs of each event

  • Develop budgets for events, and track expenditures

  • Design and manage the production of digital and onsite materials (nametags, signage, agendas, participant lists, logistics docs)

  • For in-person meetings, be onsite to manage event logistics, from onsite participant management, to meeting materials, participant check in, room setup, tech support, liaising with vendors, and troubleshooting

  • For online meetings, manage RSVP lists, distribution of agendas and materials to participants, and provide technical support

  • Attend MDF virtual staff meetings and in-person retreats, etc. as a core member of the team.

     

Required Experience, Knowledge, Skills, and Ability 
 

  • Commitment to MDF’s mission, vision, core values, and unique position in the field

  • Demonstrated experience working effectively as part of a team and with colleagues of diverse backgrounds and perspectives

  • A minimum of 3-5 years experience in event management and/or event logistics

  • Comfort working with a range of individuals in nonprofit organizations, academia, and foundations, with an ability to tailor messages to the audience

  • Comfort in communicating with a range of vendors: caterers, meeting space managers, travel agents, hotel contacts, restaurant managers

  • Ability to travel, including outside the US

  • Comfort in working as part of a small, remote team with no central office

  • Fluent in English.

     

Preferred

 

  • Comfort with systems that MDF routinely uses to organize and execute events, including Zoom, Slack, Google Sheets, Google Calendar, Signal/WhatsApp, and the readiness to learn and use MDF’s custom Filemaker Pro and Jotform events tools

  • Comfort in reviewing event and venue contracts to ensure that contracted documents reflect the needs of particular events

  • Functional understanding of print production conventions and timelines, a basic understanding of Adobe Illustrator, and how to run mail merges.

Benefits

 

Comprehensive benefits package that includes 100% employer-paid health, dental, and vision insurance for employees (and their families). Employees are able to enroll in 401k retirement plan and are eligible for a 3% automatic contribution and up to a 3% employer match on 401k contributions. Employees are also eligible for pre-tax transportation benefits.
