Interim Grants Manager 

NVF Project Name: Media Democracy Fund

Position: Interim Grants Manager, reports to Director of Special Projects 

Location: Remote, but East Coast preferred

Status: Exempt, 1.0 FTE

Duration: role duration is anticipated to be 6 months minimum and 12 months maximum,
with the possibility of conversion to a regular, full-time position

Proposed salary: $6,000 per month, plus benefits. The MDF salary range for this level is between $65,000 - $75,000 annually, plus benefits


Position Summary


Media Democracy Fund (MDF) seeks a skilled manager with strong coordination and systems management expertise to serve as its Interim Grants Manager. The Interim Grants Manager is responsible for leading the workflow and management of grants and contracts, from proposal stage to completion. With an emphasis on process and systems, the person in this position will work across all team functions to support MDF’s grantmaking and strategic program efforts. This is a full-time position with limited travel. The position is fully remote, but residency in a US based East Coast city is preferred.

Interim Nature

MDF is in the midst of hiring its next Executive Director. MDF views this Interim Grants Manager role as an opportunity to join MDF during a critical moment. The position will be structured to be re-evaluated at the end of 2024, or when the incoming Executive Director determines the organization's staffing needs.


Grants and Contracts Management

  • With the MDF Program Directors’ input and planning, maintain and manage annual grantmaking timelines, and support MDF’s program areas to ensure that grants, contracts, and the funds supporting major initiatives are moved swiftly and accurately

  • Manage the workflow for the 100-120 grants, contracts, honoraria payments and invoices that MDF and New Venture Fund execute on an annual basis

  • Maintain MDF’s Foundant grantmaking portal

  • Review grant and contract submissions to ensure complete proposals and accurate materials, and share submitted materials with New Venture Fund for grant and contract drafting

  • Review NVF grant agreements and contracts, and coordinate with both grantees and New Venture Fund through to signing

  • Coordinate and track the staff review of final reports from grantees

  • Work with contractors to submit invoices for payment

  • Manage the systems and information flow through interconnected platforms: Google Workspace, Airtable, Foundant, Box, Sharepoint, Concur, and FileMaker Pro

  • Attend virtual meetings and in-person retreats, etc. as a core member of the MDF team.


Budget Tracking

  • With MDF directors and New Venture Fund, regularly track MDF’s grantmaking and project budgets/expenditures across all programs

  • Update project budgets as opportunities arise

  • Report out in real time on available revenue and spend downs on grants


Systems Management

  • Contribute to design, development, and management of organizational systems, including Filemaker Pro database, Foundant grants system, online organizational tools (Google Apps, Slack, Box, scheduling tools, travel management tools, and others, as needed) and development and maintenance of organizational communications, development, and programs management systems.

Required Experience, Knowledge, Skills, and Ability 

  • Commitment to MDF’s mission, vision, core values, and unique position in the field

  • Demonstrated experience working effectively as part of a team and with colleagues of diverse backgrounds and perspectives

  • A minimum of 3-5 years experience in project or systems management and administration

  • Experience working with a range of individuals in nonprofit organizations, academia, and foundations

  • Proven self-starter and organized

  • Experience managing a collection of multiple independent projects, and the ability to manage multiple tasks simultaneously while meeting deadlines

  • Excellent written skills, and an eye for detail with numbers

  • Comfort in using a range of communications platforms including Box, Slack, Google Workspace, Zoom, or an interest in learning

  • Comfort in working as part of a small, remote team with no central office

  • Fluent in English.




  • Experience in grantmaking and philanthropy in general

  • An interest in learning enough about databases and application forms to customize grant applications and report templates

  • Experience with reviewing organizational balance sheets, P&L statements, and project budgets, and evaluating an organization’s fiscal position
